What to do when you get the error: "Missing Plan of Care (POC) Dates & Date of visit is not included"
As part of Plan of Care (POC) workflow enhancements, it is essential that Medicare insurance type is selected before documentation is started on a patient. If an initial exam is started while the case is linked to a non-Medicare insurance and the insurance is later changed to Medicare before the note is completed and signed, the Plan of Care dates may not be properly recorded.
Option 1: Create a Progress Note Recertification
Create a Progress Note Recertification for the same date as the initial evaluation. This will help ensure continuity in documentation and resolve the issue with the missing POC dates.
Check the box for Medicare Recertification to indicate that this is a recertification note for Medicare.
Add the current Plan of Care dates to the progress note.
Select the “No Charge” box and finalize the documentation.
The missing POC dates will be properly accounted for without generating additional charges.
Option 2: No Charge and Recreate Documents in a New Case
No charge the documents in the current case. This ensures that no charges are applied to the incorrect documentation.
Create a new case and re-enter the necessary documentation. With the new case, ensure the correct Medicare insurance type is selected when the evaluation is started.
It is critical that the Medicare insurance type is selected before starting any documentation. If changes to the insurance type are made after the documentation process has started, the Plan of Care dates may not be properly recorded.
