Session one of our May webinar is complete. I appreciate everyone who attended the webinar today. I would also like to thank my co-host, Jake Nero for presenting all the new features in WebPT that will enable clinics to communicate in a simple, secure manner. Here is a quick overview of the Webinar Topics including questions that were asked during our session.

Feature Roll this weekend (May 27th) – On Monday you will see the new features.

    • WebPT Idea Portal – This is the beginning of the WebPT democracy. Send suggestions directly to a forum where members and staff can evaluate what’s best and what’s not.
    • WebPT Internal Messaging – Send notes to any of your staff members. No more running around the clinic trying to ask people questions. internal messaging = Increased Productivity.
    • Faxing and Emailing – Free as always
    • Appointment Reminders – Many members are still unaware of this feature. Go here for more info or just watch the video below. If you want to decrease no shows by 30% give us a call.

You are missing some Flash content that should appear here! Perhaps your browser cannot display it, or maybe it did not initialize correctly.

    • Referral Program – Some members aren't aware of this great option.  Simply refer a clinic and get one month free of WebPT!  Some members have been on a referral program mission and have not paid for service in months.  Nicely done my friends.

Keep in mind, Webinar session #2 is on Thursday if you would like to join. We will be posting a recorded version next week. If you have questions on any of the covered topics email us at info@webpt.com.

At WebPT, we have always been focused on creating the most comprehensive and user friendly physical therapy documentation system available. We realize that while having defensible and compliant Documentation is the foundation of a PT clinic, there are a few key tools to enhance your workflow. With the WebPT automated, free faxing service, we are filling in some of the gaps between Documentation, Billing, and Front Office features.

The free fax service has many benefits.  Faxing or emailing notes to lawyers or case managers is done straight from the WebPT interface, taking one more cumbersome task away from your staff. You don’t even need to have a fax machine to send notes out. Imagine the savings on paper and toner alone when making the digital shift. Ultimately time and cost savings are automatically achieved when using this vital web-based feature.

    Costs of Sending Faxes manually

    Let’s look at some numbers:

    1. Printing the pages that need to be faxed
    2. Time of filling out a fax cover sheet
    3. Monitoring faxes to account for dialing errors, busy signals, and refaxing
    4. If it takes your staff an average of 8 minutes to handle an outbound fax, that amounts to $1.60 per fax in labor cost (if paying an employee $12 per hour)
    5. Average cost for paper and toner for a 3 page document on a laser printer is $.15

If you send 50 faxes per day, your daily faxing expense may be $87.50, or $21,875 per year*

Using the WebPT faxing service can save enough money per year to pay for WebPT in its entirety. Our service is 100% compliant with HIPPA regulations and secured through a comprehensive back end service.

To date WebPT has sent over 450,000 faxes from Clinics all over the country.

    Idea Portal Icon

WebPT is not just a software company. We were created out of a need in the Physical Therapy community under the supervision of a Physical Therapist. We knew early on that our best advice would come directly from our member base. Over the past few years 90% of our new features have been implemented from member suggestions.  Today, we're excited to announce a more formal commitment to collecting ideas and suggestions with the introduction of the WebPT Idea Portal.

The Idea Portal is going to take the ‘WebPT Community’ to the next level. Therapists and Staff will be able to click on our Idea Portal link and submit their ideas directly into the system. The ideas will then be sent to a queue that will be prioritized based of member interaction. Every member of WebPT will have the ability to view and vote on suggestions from other members.  The best ideas will rise to the top of the queue and be sent directly to our development team.

This feature will also help us keep members more informed on the status of a particular update. You will be able to see if an idea has been scheduled for development and how close it is to completion. Every member will have the ability to cast one vote for every suggestion in the queue.

Our commitment to empowering your clinic just took one more big step.  Help us to continue making WebPT the #1 Web-Based Physical Therapy EMR, one member suggestion at a time.

This new function is only available for clinics that currently participate in a billing integration with WebPT. Administrators on these accounts will now have the ability to enter in dollar amounts associated with codes to create a clinic fee schedule.

That wraps it up for our new features.  We hope you enjoy the new tools and we appreicate your feedback as always.  90% of the new features that you see each month come from our members.  Our success is your success!

    Secure, Internal Messaging

Have you ever needed to leave a note for another therapist or a staff member? How about another therapist covering your patients while you go on a vacation?

You probably crafted a slightly legible message on a post-it note and hoped they received it. With a busy schedule and no secure way of communicating internally, we've heard from our members about their struggles with inefficient and ineffective methods of communication. Messages get lost and processes get put on hold until answers can be received.

    Internal chat

To solve this issue, WebPT is announcing a new Internal Messaging tool. Directly from the application, your staff can send messages to communicate in real time. The messaging system allows for better communication by putting messages right in the application you are already using. You can also upload your photo for use as an avator on your messages.

    Free

The best part? There is no software to install or download, and no cost associated with this feature.

    Secure

Now, your  front office staff can send you a message to alert you of a patient's arrival or when you have a cancellation. All of the message are HIPAA Compiant and behind the same security WebPT uses to secure your documentation and patient records.  Now, it's easy to chat easily and securely with no worries.

When, logging into the system, you'll see this new feature in the upper right hand corner of your screen:

WebPT would like to take this time to express our deepest sympathies to those affected by the recent destructive weather in the Southeast portion of the U.S.  Below is a map of the areas hardest hit by the Spring 2011 Tornadoes.

One of our very own WebPT team members commented on the destruction:

“I was deeply impacted by the recent destruction and loss of lives in the Southeast. I grew up in Eastern TN. My entire family is still there and I have several friends scattered throughout the Southeast region directly in the path of this horrific storm. I mourn the loss as if it was my family, because ultimately, it was my family." - Mike Clevenger, WebPT Member Support Rep

As we share in Mike's empathy for the devastation sustained by  friends and family, the WebPT team has also turned our efforts toward the WebPT community of rehab clinics in the Southeast.  We have spoken with many of the PT clinics in the region to discover that most were fortunate enough to avoid major damage, only experiencing some power loss and minor issues.  However, others were not so lucky.  Our thoughts go out to those affected and wish you a speedy return to business and quality of life.

To assist in relief efforts, WebPT is reaching out to provide financial assistance to some of our members and their families in the SouthEastern United States.  A portion of our proceeds for the month of May will be donated to local charities, who are able to distribute funds, clothing and food to those who were impacted the most.

Please  join WebPT in providing assistance to your fellow therapists, WebPT members and their families; our members have indicated that the following organizations are providing the most immediate and effective assistance:

State of AlabamaAmerican Red CrossSalvation Army

    Thank you!!
