Business Challenge
Prior to using WebPT, Trevyn was constantly buried in stacks and stacks of charts. He and the Brockton Physical Therapy staff struggled to find daily notes or review progress notes. It was non-stop “lost charts.” Patients would return to the clinic for new cases and the staff couldn’t necessarily find the documentation for the prior case. The paperwork was so overwhelming; Trevyn was paying for a part-time staffer just to manage the files.
Trevyn had spent two to three years looking for an adequate documentation software. He had literally been through dozens of presentations. He found that they were all too cumbersome, too costly, and too focused on physicians. Persistent, he refused to spend money on inferior products. He tried OptimisPT, but found the $1 per chart pricing too expensive for his clinic.
Solution
Since starting with WebPT in April of 2011, Brockton Physical Therapy immediately dove right in and embraced the new system. They utilize eDoc to scan the old charts into WebPT. And they’ve never a lost chart again! They know where everything is at and no longer have huge piles of paperwork. WebPT has actually encouraged Trevyn to go paperless everywhere else in the clinic. He says, “It’s been liberating.”
Trevyn has also noticed the efficiency has allowed him to do the things he never could spend time on before WebPT. Specifically, he’s been able to invest some time into marketing the clinic and planning for the future.
Benefits
Using only paper documentation, Trevyn and his staff used to take eight to ten minutes per chart. Now the staff is taking only two to four minutes per chart. The time has been cut in half! And the quality of the documentation has improved drastically as well.
Prior to using WebPT, Trevyn was paying a staff person $9/hour for 20-30 hours of faxing and filing paperwork. That staff has now been able to transition to a new role. That’s a savings of over $14k per year.
It’s policy at Brockton to have all documentation done in the same day of treatment, so they have not seen a change in payment cycles. They have noticed, however, that when insurance companies request paperwork, they accept the documents more readily. With WebPT, the medical records are more clear and concise.
The scheduler is one of Brockton’s favorite features. When asked what they used before WebPT, “Paper? Excel spreadsheet? ...it was bad. I don’t remember,” laughs Trevyn.
When asked about his experiences with WebPT, Trevyn exclaims, “Overall, it’s fantastic!” He says, “It’s been saving me time, money. It made me more efficient. It’s actually not just savings; I’ve made more money since using WebPT.”
